Actionspace resides on Microsoft Azure platform which provides 99.99% service availability and built-in three-layer data backups meaning that any piece of data is securely reduplicated to at least two other physical locations in other Azure segments. In addition, Actionspace performs automated daily backups of clients’ data to separate Azure hard disks. Monthly snapshots of the virtual infrastructure are also made.

Actionspace system infrastructure is managed directly by our technical support team. Service availability monitoring is performed constantly and is fully automated.

Data is Stored on Geo-redundant Microsoft Azure Servers

Actionspace is hosted in geo-redundant Microsoft Azure environment. This means that if, for instance, you are located in the United States, you will be served by the segment of Azure servers physically located on the East coast. The URL to access the system, however, will remain the same whereever you are and whichever device you are using: https://cloudapp.actionspace.com/Actionspace/.

We use Azure servers to store task and project names, task comments, tags, project templates, user emails and user Office 365 IDs (Actionspace add-ins for Office 365 and SharePoint ask for user’s consent to read his ID before the user gets registered in Actionspace).

Actionspace is organized as a multitenant cloud application, and each customer (tenant) has its own database which cannot be accessed by any other customer. Microsoft SQL DB is used as a backend. Actionspace can provide customer admins with a read-only access to their Microsoft SQL database to read data at any time (e.g., for BI purposes).

For customers with very strong security requirements, we can offer a special edition of Actionspace, where the customer’s database is stored on a separate Azure Virtual Machine fully dedicated to the customer. In this case, Actionspace can provide the customer with a direct RDP access to this Virtual Machine for monitoring purposes.

Your Documents and Other Content are Stored in Your Corporate Secured SharePoint Environment

Actionspace for SharePoint (add-in for SharePoint) provides an opportunity to store all your project documents in your corporate SharePoint environment, not in any external database or server.

Seamless Azure AD User Authentification and User Management

To access Actionspace, users should be logged into their Microsoft Office 365 / Azure environment using their Microsoft corporate ID and password.

Actionspace supports single sign-on technologies, which means that user passwords are not shared with any Actionspace services. Actionspace just needs user’s consent to read Microsoft profile data, such as e-mail, name and surname.

For those users who do not have corporate Office 365 or Azure Active Directory accounts (e.g., external users), Actionspace provides a proprietary authentication method based on email and password hashing. Passwords are set by users and can be recovered at any time via a temporary secured web-page.

Industry-verified compliance with global standards (HIPAA, CDSA, ISO/IEC 27001, and others)

Actionspace resides on Microsoft Azure cloud platform which meets a broad set of international and industry-specific compliance standards, as well as country-specific standards, including HIPAA compliance. The only thing you have to keep in mind is that you should keep the files within your SharePoint online document library (usually synced with OneDrive for business document library) to ensure the compliance, since in this case Actionspace will not have access to the content of these files.

Online Network Traffic and Data Transactions are Encrypted

All network traffic of users working in Actionspace is passed via Actionspace Azure environment using an HTTPS connection, secured by a wildcard SSL certificate provided by Thawte.

Technical Support Service

Actionspace Service Level Agreement (SLA) is available at our Zendesk portal.

Actionspace support team is divided into 3 tiers:

  • T1 — provides customer service for product-related questions;
  • T2 — provides system updates and monitors infrastructure;
  • T3 — programs patches for complicated issues (in case there are any).

None of the tiers have direct access to customers’ data, such as names of tasks, comments, etc. In rare cases, T2 and T3 may require access to system logs to identify the source of the problem.

Regular System Updates and Maintenance

We perform scheduled updates of Actionspace Azure environment from time to time to introduce new features to the system and make all kinds of improvements. The updates are typically run on in the Saturday/Sunday night hours and take 1 to 2 hours, during which the system may be temporarily unavailable. All users are notified in advance about upcoming maintenance works.
