How to attach an email message to a task

To attach an email message (or another Outlook object, e.g., contact, meeting) to the existing Actionspace task, follow these steps:

  1. Go to your Oulook. Select objects (email messages, contacts, meetings, etc.) that you want to attach to Actionspace task. On Outlook ribbon Attach to Actionspace Task icon will become active.
  2. Click on  Attach to Actionspace Task icon. The icon becomes active when an Outlook object is selected or opened in a separate window. In case of absence of subject, text or attachments, for Outlook objects, except for contacts, the user will get the following error message: "Before creating a new Actionspace task you should enter the subject, content and add attachments". For Outlook contacts, in the case of empty fields and absence of attachments, the user will get the following message: "Before creating a new Actionspace task you should fill in the required fields and add attachments".
  3. In the pop-up dialogue box select Actionspace tasks where you want to attach the chosen Outlook objects to.

    To find a task, just type in a few characters from the task name in Choose Actionspace Tasks field, or leave it blank and click arrow down. The drop-down list of active Actionspace tasks where the current user is the Task Initiator, Responsible or Observer will be displayed. Tasks in the list are sorted by deadline: the closer the task is to the deadline, the higher it is on the list. If you have entered any characters, the list will be filtered accordingly. When you add or replace characters, search results will be updated automatically.
  4. Select one or several tasks where you want to attach the chosen Outlook object. Click OK
  5. You will be taken to Actionspace. Each selected task opens in a new browser tab in the editing mode. The chosen Outlook object is added to the task(-s) as an attachment in its original format (*.msg, *.ics, *.vcf, etc.). The name of the attachment is displayed as: <Author of Outlook object> - <Date of receipt> in the format of <month/day/year – hr/min> (or, if there is no receipt, the date of creation is displayed).
  6. If necessary, you can edit the task.
  7. After editing, save the task and send it to the responsible.
